Accounts + Operations Manager - Architecture Office

Compensation: $80,000 to $95,000 Annually

Smith-Miller + Hawkinson Architects www.smharch.com is hiring an Accounts and Operations Manager who would work in-person at our design office in Soho managing the accounts and billing along with HR operations. You must be a good communicator, able to multi-task and enjoy being in a creative environment. Prior experience in accounting in an architectural firm is preferred. Salary is $80,000 - $95,000 commensurate with experience. A full benefits package is available which includes, health insurance, standard holidays, 401K, vacation, among other perks. Financial Operations

  • Accounts Receivable Management
  • Accounts Payable Management
  • Transaction Recording & Expense Classification (QuickBooks register upkeep, credit card coding)
  • Bank & Credit Card Account Management
  • Finances Reporting (account balances; monthly project income/expense summary)
  • Tax Preparation Support (assembling bank statements, W-9s, etc.)

Project Financial Support

  • Fee Proposal Development
  • Subconsultant Fee Coordination (collecting + assembling team proposals)
  • Additional Services Requests (ASRs)
  • Invoice Coordination with Project Managers
  • Subconsultant Payment & Task Order Tracking
  • Project Setup & Fee/Time Tracking (Harvest)
  • Contract Preparation Support

HR Operations

  • Assist with Payroll and Salary Administration
  • Benefits Administration (annual health plan selection + communication)
  • Onboarding New Employees (Justworks)
  • Offboarding Departing Employees (Justworks)
  • HR Compliance & Documentation (LS59, passport/I-9 collection)
  • PTO/Leave Tracking
  • Justworks Liaison

IT

  • Software License Management/Subscription Management
  • Subscription Management

Travel & Logistics

  • Travel Arrangements & Booking
  • Business Uber Account Management

Business Admin & Coordination

  • Insurance Management (broker liaison; processing approved annual renewals)
  • Business License Renewals
